There are a variety of ways and tools available for the community to use to promote initiatives.
Borrow York University Branded items: If you have an event and want create a sense of York University awareness there are a number of assets available at a cost for moving and delivery. In addition, it they are damaged, you will need to pay for them.

The content in both the video and PDF document features a blend of accolades and current York statistics that builds awareness of the university, communicates our brand and encourages viewers to visit and learn more about York.

Book the Big YorkU Letters or Window Frame
The “YORK U” and “YU” Letters or Window Frame are portable branding pieces available to enhance any institutional event. They all provide attendees a way to take fun photos, provide a focal point, or add to the overall ambiance. There is a cost associated with the booking of each and the value is determined based on where the objects are being placed, timeframe, transportation, and additional considerations. To get them out for your event, you will need to follow the steps and guidelines below.
Note: Bookings need to be requested at least two weeks prior to use.
- Connect with C&PA for letter or window availability. Please reach out to Cameron Baguley to request the object and include which one you want and the dates/times you are interested in using them. Note, just because there is availability, priority for all objects will be given to large scale institutional events, so bookings are subject to change.
- Plan resources for the event. Both sets of letters or the window frame are portable and require a staff member or event volunteer to be present when they are at an event. This is to make sure that they are not being misused, vandalized, or other. When booking for a multi-day event, the letters/frame will need to put away at the end of each day and setup at the start of each day. They cannot be left outside or in a public area overnight.
- Book the letters/window through Maximo (once approved by C&PA). The letters are stored in the Bennett Building (“YORKU” in Student Support and Advising area and the “YU” in the Discovery Room) and the Window Frame is stored in West Office Building Lobby so in order to get them to a location, will need to submit a request through the Maximo. When submitting a request, you will select a furniture moving request and specify in the comments that it is for the big YORK U letters/Window Frame as well as what location they would need to go and how long the event is, as the facilities staff would need to both drop them off and pick them up. Note – The Window Frame requires that a 2-person team be assigned; each time the frame is moved. Please outline this is Maximo.
General Rules & Information
- Bookings need to be placed at least two weeks prior to event – sooner the better
- Booking are subject to change and can be canceled based on a priority event/purpose
- No one should climb on the letters/frame are they are not designed to hold a person’s weight
- The event lead must make sure that there is adequate supervision of the letters during the event, it is their responsibility that they do not get damaged
- In the event of any damage please notify Cameron Baguley as soon as possible
- The letters/frame cannot be left outside or in a public area overnight
- They cannot have any paint, stickers or other added to them
- Please use common sense when booking these objects at events – no misuse or abuse will be tolerated

- The letters do not light up
- They are roughly 4 feet tall and 3 feet wide
- They weight approximately 40 pounds
- Each one is a separate piece
Frame Specifications:
- The frame does not light up
- They are roughly 5 feet tall and 5 feet wide
- They weight approximately 40 pounds
- It is one piece and the hashtag can change. Options will be added here once ordered.
Book the SDG Cubes
York University is committed to action on the United Nations Sustainable Development Goals (SDGs). The SDG cubes are available to enhance any institutional event and attendees can take photos with them or they can be displayed in the event space to show support for the goals.
There is a cost associated with booking these cubes and the value is determined based on where the objects are being placed, the timeframe, transportation, and additional considerations. To check them out for an event, you will need to follow the steps and guidelines below.

- In the event of any damage please notify Jennifer Lee as soon as possible, as cost centres will be charged for repair or replacement
- The cubes cannot be left outside or in a public area overnight.

- The cubes are roughly 40x40x40 cm in size
- They weigh approximately 2 pounds each
York U Shuttles
The York U shuttles are a great place to promote your message. Complimentary to the York community, they offer transportation services between York U and the Village (small buses), and between Keele and Glendon campuses (big buses). On average, shuttles transport approximately 500 students per day on 26 shuttles to and from Glendon. That’s 10,000 students per month from September to April, providing you with a unique opportunity to reach a wide student audience.
The cost to post an ad inside the shuttle is free (excluding the cost of printing).

Refer to the requirements, suggestions and image examples to help you create high-quality ads and find success on the LCD platform. The ads run for
10 seconds each.
- The York U logo is consistently located in the top left corner so your creative must not include the logo.
- Incorporate an image whenever possible.
- Limit content to three or fewer ideas.
- Keep it simple – this is not the medium to explain all of the fine print. Add a URL to the site where people can go for all of the details.
Whenever possible, use the shorter yorku.ca/… naming convention. - Avoid small text. People are viewing this from a distance and are typically walking by. Best practice is to keep text to a maximum of 30% coverage as per examples below.
