Export Data & Schedule Emails

You may find yourself in situations where you need to pass your data on to someone else. Maybe it’s your boss who prefers you work with your site’s Analytics directly, maybe it’s for a consultant who does not have access to the York University account. Whatever the case, you are able to send data (reports or full Dashboards) from the York University account to others.

Email

To email the data from a given page/Report or Dashboard:

  1. Go the Report or Dashboard you’d like to email the data from.
  2. Click on ‘Email’ in the top-grey bar below the Report or Dashboard’s title. A pop-up window should appear

  3. Fill in the address you’d like to send the email to using the ‘To’ field.
  4. The Report data that gets sent defaults to .csv format but you can choose other options in the ‘Attachments’ field: .csv, .tsv, .xls, or .pdf.
  5. In the ‘Frequency’ field, select ‘Once’ from the drop-down menu.
  6. Optional: You can also type a message to your recipient in the white box at the bottom of the window.
  7. When satisfied, click ‘Send’ to send the Report.
The message will be automatically sent from your Google-ID-associated email account, not your York email account.

Schedule Emails

You also have the option to schedule your emails. This is especially handy if you know that a recipient would like to have reports sent at regular intervals. To set up a scheduled send:

  1. Follow steps 1-4 listed above.
  2. In the ‘Frequency’ field, select the interval you wish to use from the drop-down menu and the day of the week you’d like it to send on.
  3. Optional: You can also type a message to your recipient in the white box at the bottom of the window.
  4. When satisfied, click ‘Send’ to send the Report.

Export Data

Perhaps you need to use data outside of Google Analytics (eg. for a report or presentation.) You can Export data easily:

  1. Go the Report or Dashboard you’d like to export the data from.
  2. Click on ‘Export’ in the top-grey bar below the Report or Dashboard’s title. A drop-down menu should appear with format options – usually only .pdf files can be exported

  3. Select the format you’d like to use and a file will automatically be downloaded to your computer.
If the format you’d like to use is not available as an export option, you can email the data to yourself if it is available as an email option.
