Space Management

Campus Planning maintains a space database of all areas, on and off campus buildings, leased spaces that are occupied by York’s faculty and staff for the purpose of academic and research activities. All space on campus is managed using space standards including the Council of Ontario Universities Building Blocks (COU). Each space is assigned a use code based on the Council of Ontario Universities Building Blocks Users Guide. Spaces are assigned to a Faculty or administrative unit following York’s organizational structure.

This information forms the basis of planning studies, and department space use analyses and forms the foundation of the triennial province wide space inventory coordinated by the Council of Ontario Universities (COU) as well as forms the basis for the implementation and delivery of the SHARP model.

In addition, space management uses advancement in digital technologies (BIM, GIS Systems, etc) within the University to enhance all users experience in the built environment by way of technology or other resources.

Building Records

Campus Planning maintains up to date digital documents including floor plans and other related documents for all buildings. Records may include original construction documentation which includes the following:

  • Original construction plans and specifications.
  • Up-to-date electronic floor plans for all buildings.
  • Plans of renovations and alterations.
  • University infrastructure – below grade services such as – locations of buried utilities such as electrical lines, storm and sanitary sewer pipes, water lines, natural gas lines, communications (telephone and internet) cables, and irrigation systems.

Typical Project

  • 1 – 2 weeks –request Planner or Coordinator ref to total project completion
  • 6 – 8 weeks – Receive As-Builts drawings (depends on project and Contractor)
  • 2 – 3 weeks – Update Master drawing and PDF drawing library
  • 2 – 4 weeks – Update Archibus drawings
  • 2 – 3 weeks – Contact client to report and reconfirm updated space data
  • 1 – 4 weeks – Update Archibus data and publish to WebCentral
  • 14 – 24 weeks – TOTAL TYPICAL PROJECT DURATION (3.5 – 6 months) *

* 1. This is dependent on Space Data Coordinator availability and schedule;
* 2. May require a second round depending on the scale and complexity of the project

  • 1 week – Send Client Archibus data spreadsheets and drawings
  • 4 – 6 weeks – Client review and verification
  • 3 – 4 weeks – Update Archibus data and publish to WebCentral
  • 8 – 10 weeks – TOTAL TYPICAL PROJECT DURATION (2 – 3.5 months) *

* 1. This is dependent on Space Data Coordinator and Facilities Manager availability and schedule;
* 2. May require 3 rounds, therefore total time duration can be up to 24 – 30 weeks (6 – 7.5 months)
