Guidelines, Policies & Forms

The regulations of the Faculty of Graduate Studies generally apply to all students enrolled in graduate programs at York University. In a number of instances individual graduate programs have additional requirements; these are set out in the appropriate graduate program section of the Faculty of Graduate Academic Regulations.

Important Dates:  Our graduate program is governed by the Faculty of Graduate Studies. Students, faculty members and supervisory committees can access term deadlines for registration, course add/drop dates, grade and completion deadlines for each 4-month term.

  1. The FGS Academic Integrity Module is designed to provide the graduate community with information and resources on the expectations of academic integrity at York University. Students have an obligation to maintain the highest standards of academic honesty throughout their studies in accordance with the Senate Policy on Academic Honesty. Upon completion of this module, graduate students will have a better understanding of what constitutes a scholastic offence, as well as their responsibilities in relation to a variety of academic principles. It is mandatory for all incoming students to complete this module.
  2. Access student supports to succeed in academic integrity.
  3. For drop-in assistance and writing sessions, graduate students can access the York Writing Centre
  4. York Library also provides a variety of sources for graduate student support
  5. York’s computing services offer a full range of services: e-mail and internet, wireless, campus computer labs, Passport York, personal web page hosting, software downloads and support for graduate teaching assistants.

Access short meetings, counselling and workshops to enhance your personal mental health or well-being during graduate studies. The Faculty of Graduate Studies offers many resources.

Every student is required to submit a proposal with the appropriate MRP Proposal Submission form (MA students) or TD1 form (PhD students), officially declaring whether research ethics is utilized within their research or not.

All graduate student researchers must complete the CORE-22 TCPS Tutorial Certificate  to establish that they have completed the necessary education component and attach their certificate of completion to their protocols. Protocols will not be accepted for review unless a valid TCPS tutorial certificate is attached.

When is Ethics Review Required?

Any research that involves field observations, interviews, surveys, focus groups, and secondary data from a researcher will require a research ethics review.

The Graduate Student Risk Assessment Guidelines of the Faculty of Graduate Studies (FGS) serve to assist graduate students in identifying appropriate health and safety considerations and preventative efforts prior to departing for field activities.

All research involving human participants is considered research subject to review. The Principal Investigator (researcher) of any research project involving human participants:

  • MUST have a protocol that describes how the researcher(s) will interact with the human participants; and
  • MUST have that protocol reviewed and approved by the appropriate Research Ethics Committee before the  research commences; and
  • MUST obtain informed consent from ALL research participants. For minor age participants (Those under the age of 16 for minimal risk research), both parental consent and participant assent is required.

If data collection is required from human participants, complete the appropriate forms based on the Major Research Paper or PhD dissertation. If the research is minimum risk, using secondary data, more than minimum risk;  and if research is part of a faculty member’s project. Updated protocols are in place to address equity and the definition of risk under COVID. Submit your completed package to the Graduate Program Office.
