Moving In

Students who have a confirmed room booking for the 2025 Winter Term will receive an email from Housing & Conference Services including your room assignment and move-in window for those moving in on January 3. This email will be sent mid-December. Please ensure you have added undergradres@yorku.ca as a recognized sender.

For your safety and security, it is important that you bring valid government-issued photo ID or YU-card with you on Move-in Day. To protect your privacy, we are unable to issue keys to parents, relatives, friends or representatives.

You are permitted to have two (2) guests assisting you with move-in. We ask that only the student checking in visit the key pick-up location.

Late arrivals: Any incoming resident who does not check into their room by the first day of classes and has not notified Housing & Conference Services by email of their late arrival, will lose their room reservation and will incur a no-show fee of $500.00 to their student account.

Residence Linens:

Purchase stylish bedroom, bathroom, and kitchen items, at great student-friendly pricing. Residence Linens has a variety of items that will turn your room into your second home! Order online at Residence Linens and your items will be delivered to your residence before move-in day.

Coldex fridge rentals: Enjoy the convenience of your own fridge in residence! Coldex will deliver your fridge before you move in and pick up your fridge after you leave. Order your fridge rental online at ColdexNote: community fridges have limited space in traditional style residences. It is strongly recommended that you bring or rent a mini fridge.   

Contents insurance: We strongly recommend you purchase contents insurance for your personal belongings before moving in. The University does not take responsibility for any personal items that are lost or damaged in residence due to theft, fire, floods or other incidents beyond our control.

Sign up for Canada Post Flex Delivery: Pick up your packages when you are ready! Upon moving in this year, residents are highly encouraged to sign up for Canada Post Flex Delivery. Packages ordered from any provider that will ship to a PO Box (including Amazon) can be arranged to be picked up at York Lanes' Canada Post outlet on campus at your most convenient time.

Upon signing up, Canada Post will give you a unique delivery address to be used instead of your residence address and packages then show up to the Canada Post outlet of your choice. When selecting your Flex Delivery location, search for Postal Code M3J 1P3 and then zoom in to click on the location that says, “YORK UNIVERSITY BOOKSTORE 4700 KEELE ST NORTH YORK ON”. To sign up, or learn more about this service, please go to the Canada Post Flex Delivery website

Be sure to follow directional signage at all times.

Arriving to campus:

Upon arrival to campus, please make your way to your Key Pick-Up Location. We have both an interactive campus map and a move-in specific campus map to assist you. Only the student checking in should visit the Key Pick-up Location. Please be prepared to show your YU-card or government issued photo ID. Once your ID has been verified, you will receive your welcome package which will include your residence access card and room keys.

Arriving at your residence: The time allotted for parking near the residence buildings will be restricted and students should be prepared to unload their belongings quickly and then move their vehicles to a nearby parking lot. A maximum of two (2) persons may help with your move. Additional guests must remain outside of the residence.

Parking: Students moving in should contact Parking Services for a short-term move-in pass that can be used during the move-in period.

If you cannot make move-in day, you can move-in during our business hours from Mon-Fri. If you face any extenuating circumstances, please contact us at undergradres@yorku.ca.

After Hours Arrivals - We are unable to accommodate move-ins after 4:30pm..

Important documents to review and submit:

  • Electronic lock operating instructions: The electronic lock operating instructions contains essential information on your role in maintaining a safe environment in residence and how to properly take care of your keys and room locks. You will be asked to acknowledge this agreement as you receive your keys.
  • Undergraduate residence room inventory and condition report: The undergraduate residence room inventory and condition report needs to be completed and submitted within 72 hours of your move-in. As you fill out this form, please ensure that it accurately reflects the condition of the room/unit you are moving in to - including small damages (if applicable). At the end of your residence contract, upon move out, this document will serve as Housing & Conference Services basis on whether to charge you for damages found in your room/unit upon move out inspection. It is important that you bring to Housing & Conference Services team attention any other concerns you may have within your room. Failing to submit the Room Inventory may result in charges applied to your account upon on moving out for any unreported damages.

Moving Out

As per the 2023-2024 undergraduate residence occupancy agreement, students are required to move out of residence 24 hours after their final class/exam or on Friday, April 26, 2024 at 12:00 p.m., whichever is earlier. Please read the following information carefully to ensure a smooth move-out.

It is important to leave your room and common areas in clean, damage-free, and furnished condition. Housing staff will conduct move-out inspections using the information from the room inventory and condition report that students completed upon move-in. Charges may be assessed for any cleaning, missing items or damages that were not reported at move-in.

Any personal items left in residence rooms will be considered abandoned and will be disposed of. Residents may also be charged removal costs if applicable.

If you're planning to return next year and need storage for your personal items, we recommend arranging with off-campus storage vendors.

Any applicable cleaning, damage, unreturned/lost keys, and late move-out charges will be assessed on your student account. We encourage you to check for any outstanding balances following the move-out period and to make payments to avoid financial blocks that will prevent future enrolment, return to residence for the following term and/or graduation.

Prepare your room/suite for the move-out inspection by following the items below.

  • Dispose of all garbage and recycling material, including food stored in fridges, freezers and cupboards.
  • Empty garbage and recycling bins in room.
  • Where possible, vacuum/sweep the room/suite.
  • Return all residence furnishing to its original setting.
  • Check all drawers and closets and remove all personal belongings.
  • Remove any posters, artwork and tape/hooks from all surfaces in room/suite including doors.
  • Clean bathrooms (for residents living in suites): tub, showers, toilet, and sinks.
  • Clean the kitchen (for residents living in suites): sink, countertops, stove/cook top and cupboards.
  • Close and lock all windows, as well as the room/suite door.
  • Turn off radiator and lights.
  • Empty mailbox before returning the keys.

After you move out, Housing & Conference Services will stop accepting mail and packages on your behalf, so please make sure to empty your mailbox before leaving. Any mail for former residents will be held at York Mailing Services for around 2 weeks before being returned to the sender. Since Canada Post doesn’t recognize change of address from universities, residence mail cannot be redirected. For any questions, feel free to reach out to York mailing services at 416-736-5572.

Vacating residents must also:
  • Notify correspondents about their change of address. This includes agencies (e.g. for income tax returns, GST cheques...) and York University departments.
  • Change their home/mailing address on student records by contacting the Registrar’s Office.
  • If moving to York Apartments (Assiniboine, Atkinson, Passy), promptly notify senders of the new address. *York apartments mail is serviced externally by Canada Post and mail from undergraduate residence will not be redirected by the York mailing service.

Please return all keys and key cards (issued upon move-in) to your housing services office drop box. Please do not deposit loose keys or keycards. Instead, place all keys and the key card together in a sealed envelope labeled with your name and room number and then deposit them into the drop box at your housing services office. Please do not leave your keys in your room or ask friends or residence dons to return them for you, as delays caused by these actions may result in charges.

*Each room/suite will be inspected upon move-out. Damage/cleaning charges (if applicable) are posted on the vacating resident's student account.

An improper move-out fee of $100 will be charged for keys or keycards that are not returned on the day of move-out.

Move-out extension application

If you have special circumstances and need to stay after your last exam, please complete the late move-out request form by May 10, 2024. Requests for move-out extensions will not be accepted after May 31, 2024. To access the form, sign in using your PPY username without "my." (e.g., use smith123@yorku.ca instead of smith123@my.yorku.ca).

Please note:
  • If you wish to remain in residence during the summer months, applications for on-campus summer residence are currently being accepted. Please visit the 2024 summer residence page for more information.
  • Residents with a history of infractions against residence policies may be denied an extension.
  • Residents that are granted extension permission and violate community standards will revoke their rights to stay and will be asked to vacate immediately.

During house meetings closer to the move-out period, residence dons will review important move-out information and perform periodic checks to ensure residents follow their obligations as per their residence occupancy agreement. Residents who fail to move out on time will be asked to leave residence and may be assessed a $100 improper move-out fee. All residence keys will expire on May 27, 2024 at noon unless the student was approved for an extension. 

Exam period policies

Extended quiet hours for exams will start on April 9, 2024 at 8:00 a.m. Please be considerate of your fellow residents and help maintain a study-friendly environment. If you encounter noise disturbances, please contact the don on duty.

Moving into summer residence and York apartments

Residents moving to summer residence or York apartments will be contacted by Housing & Conference Services about their specific moving date and procedures.

Returning to undergraduate residence next fall

Residents planning to return for the following fall/winter term should submit their housing applications as early as possible to increase their chances of getting a space. Application for the next term launches early February each year. Visit apply for residence for more information.
