Booking Process
Internal (York University) Eligible Users can request the use of the spaces listed below by following these steps:
Step 1: Requesting the Space
Complete the YU Room Request Form.
The information collected will help determine if your event requires the completion of a Temporary Use of University Space Application. Please allow 1 to 2 business days for our team to respond to your inquiry.
Step 2: Booking Confirmation
If the room(s) requested on the YU Room Request Form are available, you will receive a booking confirmation email.
This email will include instructions on completing a Temporary Use of University Space Application (if required), Maximo Service Request and Classroom Equipment Order.
Also included will be information on where and when to sign out the keys to the space that has been booked.
The LA&PS Colleges team will review your request and respond to you within 2 to 3 business days.
During peak periods, the Office of Temporary Use of University Space (TUUS) will require a minimum of 15 business days to process TUUS Applications. Room booking requests submitted less than 15 business days from the proposed date of the event cannot be processed. 015A Founders College
- Location: Courtyard level
- Capacity: 36
- Built in technology: LCD Television with built in PC. (No Classroom Equipment Order is required to use the built-in technology.)
- Standard Set-up: Rectangular tables with chairs, set up classroom style. (Maximo Service Request is only required for events using a set-up other than classroom style.)
Founders Assembly Hall
152 Founders College
- Location: First floor
- Capacity: 160 (round tables and chairs) to 250 (lecture style)
- Built in technology: Computer, projector, projection screen and speakers. (Classroom Equipment Order is required to activate the equipment.)
- Standard Set-up: Open space. (Maximo Service Request is required for room set-up.)
Brian Cragg Committee Room
303 Founders College
- Location: Third floor
- Capacity: 30
- Built in technology: PC, Screen, and LCD projector. (Classroom Equipment Order is required to activate the equipment.)
- Standard Set-up: Rectangular tables with chairs, set up boardroom style. (Maximo Service Request is only required for events using a set-up other than boardroom style.)
Senior Common Room

- Location: Third floor
- Capacity: 48 (round tables and chairs) to 60 (lecture style)
- Built in technology: None. (Classroom Equipment Order is required to order any equipment.)
- Standard Set-up: Open space. (Maximo Service Request is required for room set-up.)
Harry Crowe Room
109 Atkinson Building
- Location: First floor
- Capacity: 16 tables with seating for 42 (total of 59 chairs available)
- Built in technology: PC, projector, and screen. (No Classroom Equipment Order is required to use the built-in technology.)
- Standard Set-up: Hollow rectangle. (Maximo Service Request is only required for events using a set-up other than the standard hollow rectangle style.)
- NOTE: The room must be re-set to its original rectangle configuration after each event.
Junior Common Room (JCR)

Junior Common Room, The Renaissance

- Capacity: 100 (lecture style)
- Built in technology: None.

- Note: Changes to the standard room set-up will not be permitted for booking requests taking place Monday through Thursday. Changes to the room configuration will only be allowed for events taking place Friday evenings and weekends.
Senior Common Room

Outdoor space located between Founders College & Residence

Vanier Quad
Outdoor space located outside of the Vanier Renaissance Room (VC 001)
A peaceful outdoor space to find quiet during a busy day.

WHO CAN BOOK SPACES AT THE LA&PS COLLEGES
As per the University’s Procedure on the Temporary Use of University Space, eligible users can request by space for meetings, events and other activities outside of normal academic activities by contacting the reservation agent responsible for booking those spaces.
Internal (York University) Eligible Users of university space include:
- Academic Offices, Departments and Research Centres
- Administrative Departments and Employee Groups
- Recognized Student Governments and Student Organizations
External (non-York University) Requests
All external organizations seeking to book space at York University must do so through Accommodation & Conference Services.
BOOKABLE SPACES AT THE COLLEGES
There are three types of spaces at the LA&PS Colleges:
- Academic Teaching Space (Classrooms, seminar rooms, lecture theatres, etc.)
- Non-Academic Space (Dining Rooms, Assembly Halls, etc.)
- Student Study Spaces
Academic Teaching Space
Classroom space is controlled by the Registrar’s Office. University departments and employee groups seeking to book these spaces can make a request by completing the Classroom Online AdHoc Booking Request Form.
Recognized student organizations seeking to book academic teaching space can make a request by completing the YU Connect Event Form.
