An employee record number is associated with each concurrent job an employee holds, beginning with record 0. The job record associated with each employee record number is managed as a distinct job, and may be related to entirely different positions, administrative appointments or teaching contracts.

The majority of employees have record 0 as their primary job, with sequential record numbers for other roles or secondary jobs, using subsequently higher record numbers.

Examples:

  • An employee's primary job is on employee record 0 as a professor in a specific Faculty but they also hold the position of Dean. The Dean's role would be on a different employee record number (record 1).
  • An employee has a continuous job (employee record 0) and works in a different area on a casual or contract basis. The casual or contract job will have its own employee record number (1) as it is an additional job on top of the employee's primary job.
  • Part-time faculty in the Canadian Union of Public Employees (CUPE) Unit 3903 will have a different employee record number for each individual teaching contract concurrently. 

Generally, the lowest active record number is used for the primary job, with the exception being for employees who retire on their primary jobs (record 0); as a new record number will be used for these instances to allow for maintenance of the retiree record separately.
