Faculty and Staff at York University have access to a variety of printing services.

Overview:

Unified Print Management service provides a unified print management service platform to monitor and control print and copy transactions at the University. The service heavily relies on the existing central infrastructure (server, database, storage, network and cost recovery) for a highly available, secure and resilient service.

**Please note only faculty and staff at York University who have been onboarded to the Unified Print Management service are eligible to use this service. Please confirm with your local IT support.

Core Service:

  • Print Management: Monitor and control print transactions to typical network print devices
  • Copy Management: Monitor and control copy transactions to typical photocopy devices
  • Month end transaction reports: Detailed month end transaction reports for each operational unit
  • Secure Print and Copy: Requires Passport York service authentication in order to print and/or copy

Optional Service:

  • WebPrint: Print anywhere, anytime by uploading documents from a web browser using WebPrint.

Print Management

Printer must be:

  • Managed by the Unified Print Management service
  • Managed by Central Active Directory
  • Windows 10 and up
  • ** Please note if you are using another operating system, please refer to WebPrint

Support of Print and/or Copy devices

Libraries and local faculty I.T. support groups must own appropriate maintenance and support for all print and copy devices under Unified Print Management service.

Month end transaction reports:

Month end transaction reports for each department will be accessible to local administrative contact(s) as follows:

  • Delivered by email
  • Every month
  • Total transactions summary (# of pages, cost where applicable)
  • Total transactions detailed (# of pages, cost where applicable)

Secure Print and Copy

Requires Passport York service authentication in order to print and/or copy. An ACL (Access Control List) will be enforced on the device for authorized print and/or copy.

Overview of WebPrint:

WebPrint allows you to print to publicly-accessible campus printers from your laptop or desktop computer:

How do I print?

  • Prior to printing, check your YU- Card account balance to ensure your account has sufficient funds / credits to cover the cost of printing.
  • Students can now also use Mobile Credentials with pay as you go printing on supported devices. Instructions for queuing and printing are posted next to the printing stations.
  • Browser requirements: Google Chrome (109 and later), Apple Safari (14 and later), Microsoft Edge (109 and later), and Mozilla Firefox (82 and later)

Instructions for using WebPrint

  1. Login to WebPrint with your Passport York account
  2. Click on Submit a job
  3. Choose the appropriate printer from the list
  4. Click on Print Options and Accounts Selection
  5. Type in the number of copies of the print job then click on Upload & Complete
  6. Then click on Browse to upload the file you want to print
  7. Click Upload & Complete
  8. After which you will be to release the print job from the printer. There will be information available at the release stations on how to release the print jobs.

Service Description:

WebPrint has 6 different sections:

  • Summary: This section contains
    • Username
    • Balance (i.e. PaperCut balance)
    • Blackboard balance amount
    • Total number of print jobs released
    • Total number of pages released
    • Graphical representation of the balance history
  • Rates: This section displays the rates for printing at all the libraries and labs at York
  • Transaction history: The transactions history of printing can be found under this section
  • Recent print jobs: The history of recent print jobs can be found under this section
  • Jobs Pending Release: The pending print jobs that have not been released yet can be found under this section
  • WebPrint: Here you can submit a print job and see the status of active print jobs

Overview:

You are able to use York’s printing services if you have if you have a Guest YU card with available funds on it.

How do I print?

  1. Swipe the Guest YU-card; there will be a prompt with a message stating that the card is not registered to any account, and it will ask whether or not the card needs to be registered under a Passport York account – click Yes
  2. On the following screen, type the Passport York login credentials
  3. From then on, both cards (the primary YU-card and the guest card) are now registered under the Passport York username. Both balances will be combined together, and the total balance will be available in the middle of the screen after logging in at the Balance field

Overview:

During the installation of drivers on either a OS X or Linux workstation you may be prompted to select the appropriate driver for the printer. Some drivers may already be available in the standard software included during the installation of the operating system. If the driver is NOT present it will be necessary to download the driver from the vendor’ssupport page. In most cases you will only need to download the driver and not any support utilities. Below are a series of links to the printers used in UIT.

2. Once in the “Drivers & Downloads” page enter the model of the printer needed.

1. Once in the “Manuals, Drivers, Software and Brochures Downloads” page you can specify the printer model (ensure that the “Drivers/Software” checkbox is checked)

No. The service covers only computer equipment (desktop, laptop, notebook, small mobile device, printer, scanner) that is university owned.

Computer Labs FAQs

You are not connected to VPN. You must connect to the VPN before accessing a remote lab computer.

You do not have access to the lab computer, please select a lab computer that is affiliated with your Faculty.

UIT does not issue refunds for printing. Take your complaints about print output to the Counter in the Computing Commons to ask about possible re-printing.

WebPrint FAQs

No. Specific pages cannot be printed through WebPrint directly without printing the whole document. For e.g one cannot print only 3-5 pages of a 10 page document directly. To get around this one can save the specific pages they want to print in a separate document, upload that document to WebPrint and then print.
